As a Sales Department Assistant, you will play a crucial role in supporting our sales representatives and sales management team in their day-to-day activities. Your responsibilities will include assisting with order and quote writing, researching job boards to identify potential opportunities for bidding on jobs, supporting commission tracking, maintaining customer invoicing communications, and managing sales pipeline reporting and administrative coordination.

Job duties:


  • Collaborate with sales representatives to write accurate and compelling orders and quotes
  • Conduct thorough research on job boards to identify projects that align with our company's capabilities and expertise
  • Maintain a comprehensive database of potential job opportunities, including project specifications, deadlines, and contact information
  • Assist in preparing and submitting bids for relevant projects, ensuring all necessary documentation is complete and accurate
  • Provide administrative support to the sales team, including managing calendars, and scheduling appointments
  • Assist with determining and tracking payable sales commissions
  • Scan and organize paperwork and supporting documentation
  • Email weekly invoices to sales customers in a timely and professional manner
  • Update and maintain HubSpot pipelines to ensure accurate sales tracking
  • Prepare and report monthly and quarterly pipeline updates to management
  • Maintain organized digital records and assist with overall sales department coordination

Appearance/dress code:


  •  In this role, appearance is a significant aspect as you will regularly interact with architects and clients. We maintain a professional image and have a dress code in place for our Sales Department. Details regarding the dress code will be discussed during the interview process.

Preferred experience: 


  • Proven experience in a sales support or administrative role, preferably in a similar industry.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and ability to work with precision.
  • Proficient in using job boards and online research tools.
  • Familiarity with writing orders and quotes is highly desirable.
  • Ability to work independently and prioritize tasks effectively.
  • Proficient in using CRM software.
  • Strong organizational and time management skills.
